1. Purpose of This Policy

This Cancellation & Refund Policy outlines the terms and conditions governing cancellations, rescheduling, and refund eligibility for services provided by GlobeSync Travel Management (“we,” “our,” or “us”).

As a Remote Travel Operations Management Agency, we dedicate significant time and expertise to research, itinerary planning, coordination, and vendor communication on behalf of clients. This policy ensures fairness and transparency for both parties.


2. Our Business Model

GlobeSync Travel Management provides professional travel coordination and management services.

Under our payment model:

  • Clients pay vendors directly (e.g., airlines, hotels, tours, transport providers).

  • GlobeSync Travel Management charges a separate coordination service fee, payable in two phases:

    • Phase 1: 50% Planning Deposit

    • Phase 2: 50% Coordination Balance

Accordingly, this policy applies to our service fees only, not to third-party vendor payments.


3. Client Cancellations

If a client decides to cancel coordination services after confirming the project:

Important Notes:

  • The planning deposit (Phase 1) becomes non-refundable once any work has commenced.

  • If the client cancels after itinerary or booking coordination is completed, the service is deemed delivered.

  • Refunds are only applicable to fees paid directly to GlobeSync, not to external vendor bookings.


4. Vendor & Supplier Cancellations

Because clients pay vendors directly:

  • Refunds, changes, or cancellations for flights, hotels, tours, and transportation must be handled directly with the vendor or platform (e.g., Booking.com, Expedia, Viator).

  • Each vendor’s own cancellation and refund policy will apply.

We can, upon request, assist clients with documentation or communication to vendors but are not responsible for vendor refunds or penalties.


5. Project Postponements

Clients may request to postpone or reschedule travel coordination instead of canceling.

  • Postponement requests must be made at least 14 days before the intended start of the trip.

  • The planning deposit can be credited toward a future coordination (within 6 months) if no final itineraries have been confirmed.

  • After 6 months, unused credits will expire automatically.


6. GlobeSync-Initiated Cancellations

In rare cases where GlobeSync Travel Management is unable to fulfill a confirmed coordination due to unforeseen internal issues (e.g., illness, operational interruption):

  • Clients will receive a full refund of any service fees paid (both Phase 1 and Phase 2, if applicable).

  • We may also help refer clients to trusted partners to continue the process without interruption.


7. Refund Processing

All approved refunds will be:

  • Processed within 14 business days of written request approval.

  • Issued through the original payment method (e.g., bank transfer, PayPal, or Wise).

Please note that:

  • Bank or payment transfer fees are non-refundable.

  • GlobeSync Travel Management is not responsible for currency conversion losses during refunds.


8. Force Majeure

Neither the client nor GlobeSync Travel Management shall be held liable for cancellations, delays, or non-performance caused by events beyond reasonable control, including:

  • Natural disasters (e.g., earthquakes, floods, hurricanes)

  • Political unrest or civil disturbances

  • Strikes or airline disruptions

  • Government regulations or border closures

  • Global health emergencies (e.g., pandemics)

In such cases:

  • GlobeSync’s service fee refunds will be reviewed on a case-by-case basis.

  • Clients must seek refunds directly from vendors in accordance with their respective policies.


9. Refund Exclusions

Refunds are not applicable under the following circumstances:

  • Client changes mind after itinerary has been prepared.

  • Failure to obtain a visa or valid travel documents.

  • Delays caused by incomplete client information or unresponsiveness.

  • Dissatisfaction with third-party services not booked or managed by GlobeSync.

  • Travel disruptions caused by personal emergencies or force majeure.


10. Client Responsibilities

To maintain fairness and smooth operations:

  • Clients must communicate all cancellations in writing via email to [info@globesynctravel.com].

  • Clients must notify us immediately if vendors cancel or modify any bookings coordinated through our management.

  • Clients should keep records of all vendor receipts for their reference.


11. Non-Payment and Abandonment

If a client fails to make a required payment (Phase 2) or stops responding:

  • The project will be placed on hold after 5 business days.

  • If no contact or payment is received within 10 business days, the project will be considered abandoned, and no refunds will be issued for the initial deposit or work completed.


12. Dispute Resolution

In case of refund disputes:

  • GlobeSync Travel Management will review all relevant documents and communications.

  • Disputes will be resolved amicably whenever possible.

  • If unresolved, they will fall under the jurisdiction of Strasbourg, France, in accordance with French business law.


13. Policy Updates

We may update this Cancellation & Refund Policy periodically to reflect changes in services, pricing, or laws.
Any updates will be posted on our website with a new “Last Updated” date.
